What information do we collect?
As part of your enquiry, we may collect your name, telephone, mobile and email contact details and information to assess your service requirements.
For clients of our firm, as set out in our letter of engagement, we may collect your personal details, contact details, financial details and details of your family, lifestyle and social circumstances that allow us to assess your requirements and to provide appropriate advice and services.
If you are providing information and/or contact data for a third party (for example your client, relative or spouse) we assume that you have their explicit consent to share this with us. They will retain the right to access, correct or remove this information at any point.
By submitting your personal data you consent to the use of that information as set out in this policy. You may withdraw your consent at any time by contacting firstname.lastname@example.org.
How do we use your personal information?
We process your personal information to enable us to provide accounting and related services and to allow us to suggest services which may be of interest to you.
We may from time to time, contact you regarding legal, technical, regulatory or industry changes that we believe should be brought to your attention.
We may need to provide your information to service providers, other professional advisors, legal and regulatory authorities and central government. We will only share your information where necessary and only with firms who can evidence that they are GDP compliant.
Where we provide services to you, our legal basis for processing is a contract. Details on individuals, sole traders or LLP’s who are not current clients use consent.
How do we protect your personal information?
We have put in place various security measures, both technical and organisational, to protect your personal data from loss, misuse, alteration or destruction. Our security policies are reviewed regularly.
All Kirkpatrick & Hopes staff have signed a confidentiality agreement and only authorised persons will have access to your personal data.
The information you provide may be transferred to countries outside the European Economic Area (EEA) that do not have similar protections in place regarding your data and restrictions on its use as set out in this policy. However, we will take steps to ensure adequate protections are in place to ensure the security of your information. The EEA comprises the EU member states plus Norway, Iceland and Liechtenstein. By submitting your information you consent to these transfers for the purposes specified above.
Access to your information, correction and removal
You have the right to request a copy of the information that we hold about you, to correct information or to request the removal of your data.
We want to make sure that your personal information is accurate and up-to-date. If any of the information that you have provided us with changes, such as your email address or name, please let us know by sending an email to email@example.com. You may ask us to correct or remove information that you think is inaccurate.
For access requests, your information will be provided within 30 days of your initial request. If your request is deemed unfounded or excessive we may notify you that there will be an administrative cost for providing this access request.
If you would like a copy of some or all of your personal information held, to correct information or to request the data removal, please contact Andrew Scott, on the contact details in the footer of this policy.
Please note that we are required by our professional body and professional indemnity insurers to retain certain client data for a period of time during and following our client engagement. If your request for data removal is within this timeframe we will notify you, and we will remove all data which does not conflict with this obligation.
